Automation and AI for accounting firms
In an accounting firm, every quarter brings the same race: asking for invoices, waiting for them, posting them by hand and balancing before the deadline. A digital employee handles collection, sorting and reminders so your team spends its time advising.
Most of the repetitive work in an accounting firm isn't the bookkeeping itself but everything around it: getting the documents, sorting them, recording them and giving notice in time. That is exactly the kind of work that automates best.
The processes that eat the most hours
Collecting documents
Invoices by email, photos on WhatsApp, PDFs in shared folders and the client who sends everything on the last day. Every quarter, someone on the team spends whole days chasing documents.
Posting invoices
Downloading, reading, checking tax details, assigning the right account and entering it in the accounting software. Invoice by invoice, client by client.
Tax and payroll calendar
Quarterly and annual returns, payroll, social security contributions and every deadline for every client, with the paperwork ready in time.
Notices and requests
Notices from the Spanish Tax Agency and Social Security that need reviewing, assigning to a client and answering within the deadline.
What a digital employee does at your firm
- Requests the documents before each close from each client, on their usual channel, and reminds them of what's missing until it arrives.
- Sorts what it receives: identifies the client, the document type and the period, and files it in the right folder.
- Reads the invoices and prepares the entry in your accounting software, flagging doubtful ones for review.
- Tracks deadlines for each client and alerts the advisor in charge well in advance.
- Logs incoming notices, assigns them to the relevant client and creates the task with its due date.
- Answers clients' frequent questions with their real data and passes the rest to the advisor.
Where to start
Almost always with document collection and invoice posting: that is where the hours concentrate and where savings are easiest to measure. You can estimate them with the savings calculator or read the detail in automating an accounting firm: invoices, requests and client documents.
Frequently asked questions
Does it work with my accounting software?
We work with the programs most common in Spanish accounting firms, such as A3, Sage, Holded or Odoo, among others. If yours has no API, we find the most stable route: file imports, watched folders or scheduled exports.
What about badly scanned or incomplete invoices?
They aren't posted blindly. If an invoice is unreadable, duplicated or missing a tax detail, it goes to a review inbox with the reason, and the digital employee can ask the client for a better copy.
Can it answer my clients' questions?
It can answer frequent questions (which documents are missing, when a deadline falls, what stage a procedure is at) with each client's real data. Anything that needs advice goes to the advisor with the question summarised.
How is my clients' tax data protected?
Each firm's data is isolated, credentials are stored encrypted, every action is logged and AI models are used through business APIs that don't train on your data.
