Business process automation for SMBs
We take the tasks your team repeats every day off their plate (copying data, entering invoices, chasing follow-ups) and turn them into workflows that run on their own on your current tools.
Process automation means that your company's repetitive work (the kind that always follows the same steps) is carried out by a system instead of a person. Data moves on its own from one tool to another, documents are read and recorded as they arrive and every follow-up goes out on time, without depending on anyone's memory.
It isn't about installing new software. It's about connecting what you already have and taking human hands off the steps that add no judgement.
Which processes we automate
These are the processes where our clients recover the most hours. Almost every SMB has at least three of them.
Administration
- Moving data between platforms: from the web form to the CRM, from the CRM to the ERP, from the ERP to management's spreadsheet.
- Onboarding clients and suppliers with all their documents verified.
- Filing documents automatically in the right folder, with the right name.
Sales
- An immediate reply to every lead, by email or WhatsApp, at any time.
- Scheduled sales follow-ups so no opportunity goes cold.
- Quotes generated from the CRM in minutes, not hours.
Invoicing
- Reading supplier invoices that arrive in the mailbox and entering them in the ERP.
- From order to issued invoice without retyping data.
- Late-payment reminders and payment reconciliation.
Customer service
- Sorting the shared mailbox: each email reaches the person who should handle it.
- Answers to frequent questions using the client's real data.
- Handover to the team, with the case already summarised, when a person is needed.
How we work
- 01
Free audit
A 30 to 45-minute session to understand how your team works and find where the hours go. You get a map of automatable processes ranked by impact.
- 02
Design
We define exactly what gets automated, how and what it costs. Fixed price before we touch anything.
- 03
Implementation
We build on your tools, test with real cases and go live in phases, starting with what saves the most.
- 04
Continuous optimisation
We measure the hours recovered, fix incidents and adjust the rules when your process changes.
The detail of each phase, with what we ask and what you get, is in how we work.
Which tools
We automate on top of what your team already uses: Odoo, Holded and other ERPs; HubSpot, Salesforce and most CRMs; Gmail and Outlook; Google Drive, SharePoint and Excel; WhatsApp Business; and any system with an API, a data export or, at the very least, email.
To orchestrate the workflows we use n8n and our own services, and language models from OpenAI and Anthropic where AI brings measurable savings: reading a document, understanding an email or drafting a reply.
What changes day to day
Your team's work still happens in their usual tools. What disappears are the steps in between: copying, pasting, renaming, remembering.
Each automation has a dashboard where you see what it did, how many times and with what result. And when it hits a case it can't resolve (an unreadable invoice, a client that doesn't exist), it doesn't guess: it leaves it in an exceptions inbox with all the context so you can decide in seconds.
When automation isn't worth it
We'll tell you in the audit, even if it means not doing the project:
- When the task takes so few hours that the automation would take years to pay for itself.
- When the process changes every week: it's better to stabilise it first.
- When your current software already solves it with a native feature nobody has switched on.

Automation or digital employee
An automation follows fixed rules: if this happens, do that. It works very well when the process is always the same. When each case needs reading, interpreting and choosing between options (a client email with three mixed requests, a file with incomplete documents), what fits is a digital employee: an AI agent with a defined role that decides within limits and asks for your approval on anything important.
In many projects both live side by side: the automation moves the data and the digital employee handles what needs judgement.
Frequently asked questions
Which processes can an SMB automate?
The ones that repeat with clear rules and eat hours every week: entering invoices, onboarding clients, moving data between the CRM and the ERP, sales follow-ups, sorting email, producing quotes and handling documents. In the audit we rank them by the savings they generate.
How long until it's up and running?
The first automations are usually in production two to four weeks after design. We start with the one that saves the most hours so the return shows as soon as possible.
Do I have to change software?
No. We work on top of your CRM, ERP, email and spreadsheets. We only recommend replacing a tool when it is clearly the bottleneck, and the decision is always yours.
What happens when an automation doesn't know what to do?
It stops and puts the case in an exceptions inbox with the context you need to decide. A well-built automation resolves most cases on its own and flags the rest instead of guessing.

Process automation in an SMB: where to start
Most automation projects that fail do so before a single line of code is written: they start with the tool instead of the process. These are the steps to do it the other way round.

Which processes to automate first and how to calculate the return
With a list of repetitive tasks in front of you, the temptation is to start with the most visible one. The profitable move is to start with the one that saves the most for the least effort. Here's how to work it out.

What is a digital employee
A digital employee is an artificial intelligence agent with a defined role in your company: it takes requests by email, chat or WhatsApp, works inside your tools with the capabilities you authorise and asks for your approval before any important action.
