Automation and AI for car dealers and leasing companies

In car sales and leasing, a lead that isn't answered within minutes moves on to the next listing. A digital employee replies to every prospect at any time, keeps stock up to date on the website and the portals and checks the documents for every deal.

A car dealer or a leasing company handles dozens of leads, vehicles and files every day. Almost all of that work has the same shape: answering the same questions, copying the same data into several places and checking the same documents. And at every one of those steps, speed turns into sales.

The processes that eat the most hours

Responding to and managing leads

Prospects write on WhatsApp, by email, through the website form and from listing portals, at any time. Each one asks about a specific vehicle, financing, trading in their used car or the final price. If the reply takes hours, the client has already written to three other dealers.

Vehicle listings on the website and portals

Each vehicle has its listing: photos, price, mileage, equipment, warranty and status. When a car comes in, a price changes or a unit is reserved, someone has to update it on the website and on every portal. An outdated listing generates leads that can't be served and clients who feel misled.

Verifying documents

A sale or leasing deal needs documents from the client and, where relevant, for the vehicle. Checking them by hand, asking for what's missing and preparing the file for the finance company takes hours, and a mistake found late delays delivery.

Follow-up and after-sales

Reminders for services and roadworthiness tests, end-of-lease notices, satisfaction surveys and workshop appointments.

What a digital employee does at your dealership

  • Replies to every lead within minutes, on the channel they used, with the vehicle's real data: price, availability, equipment and terms.
  • Qualifies the prospect: budget, need for financing, trade-in and buying timeline.
  • Proposes a meeting or a test drive based on the salesperson's calendar and sends the reminder.
  • Logs everything in the CRM with a summary of the conversation, and alerts the salesperson when the client is ready.
  • Keeps stock in sync between the management system, the website and the portals when a price changes or a unit is reserved or sold.
  • Checks the documents for each deal, spots what's missing or expired and asks the client for it before sending the file to the finance company.

What answering late costs

If you want to put numbers on the leads that go cold because they aren't answered in time, use the lead response cost calculator. And if you're interested in the technical detail of automating WhatsApp enquiries, we cover it in how to automate lead handling on WhatsApp and email.

Which tools it works with

Your dealer management system (DMS) and CRM, your website and the listing portals where you advertise, WhatsApp Business through Meta's official API and your email. We connect it all without changing your software.

Frequently asked questions

Can it reply on WhatsApp with real stock information?

Yes. The digital employee checks the connected inventory (price, mileage, equipment, availability) before replying, and if the vehicle is already reserved or sold it suggests similar alternatives instead of giving outdated information.

Which documents can it verify?

The ones each deal requires: ID, driving licence, proof of income, tax returns or annual accounts for companies and the self-employed, deeds and tax ID, and the vehicle's papers in a sale. It checks they are complete, legible and valid, and asks for whatever is missing.

Does it replace the salesperson?

No. It handles the first reply, qualification and scheduling, and passes clients who are ready to close to the salesperson, with a summary of the conversation. Salespeople spend their time selling, not answering messages at eleven at night.

Do we need to change the DMS or the CRM?

No. It integrates with the dealer management system and CRM you already use and with the portals where you list. If one of them has no API, we find another stable route, such as exports or inventory feeds.
