The starting point
The company buys, sells and leases vehicles to individuals and businesses. Every day, prospects reached it on WhatsApp, by email, through its website form and from listing portals. They were handled by the same sales team that showed vehicles, ran test drives and closed deals, so replies piled up exactly at the busiest hours and outside opening times.
Besides leads, three manual tasks repeated every day:
- Answering and managing leads: answering the same questions about price, availability and financing, logging the prospect in the CRM and remembering to follow up.
- Updating vehicle listings on the website whenever a unit came in, a price changed or a car was reserved.
- Checking the documents for every sale and leasing deal before sending them to the finance company, and chasing the client when something was missing.
None of those tasks needed sales judgement, but together they took a large part of the team's day. And when they slipped, the cost was direct: leads going cold, outdated listings generating questions about cars already sold, and files coming back from the finance company over a missing document.
What the digital employee does now
Responding to and managing leads
Every message arriving by WhatsApp, email or from a portal gets a reply within minutes, at any time. Before answering, the digital employee checks stock: if the vehicle is already reserved or sold, it suggests similar alternatives instead of giving outdated information.
It then qualifies the prospect (budget, need for financing, trade-in, buying timeline) and proposes an appointment or a test drive. Everything is logged in the CRM with a summary of the conversation, and the salesperson gets the lead when the client is ready to close.
Vehicle listings always up to date
When a vehicle comes in, a price changes or a unit is reserved in the management system, the website listing updates itself. Nobody has to remember to do it or type the same data in several places.
Checking documents
For each deal, the digital employee checks that the client's documents are complete, legible and valid: identification, proof of income and, for companies and the self-employed, their tax and company documents. If something is missing, it asks the client through their usual channel and follows up. The file reaches the finance company complete.
What the team still does
People remain in charge of what needs judgement and personal contact: negotiating prices, deciding discounts, approving deals and looking after clients in the showroom. The digital employee prepares and alerts; the team decides.
