We already use ChatGPT at work: what does a digital employee add?

Short answer

ChatGPT helps whoever uses it, when they ask. A digital employee does a whole task when work arrives: it reads the email, checks your software, prepares the reply and asks for approval before sending it. They don't compete: most companies use both.

It's the objection we hear most, from law firms, accounting firms and SMBs alike: "we already do that with ChatGPT". Fair enough. According to Spain's statistics institute (INE), in the first quarter of 2026, 33.6% of companies with 10 or more employees were already using some AI technology, and for many of them AI mostly means ChatGPT. The question is which part of the work it actually does.

What does ChatGPT do well?

It's an excellent tool for one person: drafting a first version, summarising a long document, organising ideas, translating or explaining something new. It answers what you ask, when you ask. If someone on your team uses it well, they work faster.

What's missing for it to do the whole job?

A company's repetitive work isn't a one-off question; it's a process. An email arrives, you work out who it's from and what it asks for, find the case or the order, check some software, prepare the reply, get it approved and record it. ChatGPT can help at every step, but:

  • It works when someone asks. Even if you connect it to your email or folders, a person has to open the conversation and give it the task every time.
  • It doesn't know your process. It doesn't know who approves what, which cases are urgent or which rules the company follows, unless you explain it in each conversation.
  • It doesn't reach all your software. Industry software (accounting, practice management, your ERP) often has no connector.
  • What it produces stays in the conversation. Someone has to move it where it belongs and keep a record.

A digital employee uses language models like ChatGPT's under the hood. What changes is everything around them. We explain how it differs from a chatbot, RPA or an AI agent in this guide.

What changes in each sector

When is ChatGPT enough?

When the task is a one-off, one person does it and the result doesn't need to go into any software: writing a text, preparing a presentation, carefully reviewing a specific contract. A subscription delivers a lot for little money there. A digital employee pays off when the task repeats often, follows rules and moves data between systems. To run the numbers, see should I hire someone or automate?.

How the two fit together

Usually the team keeps using ChatGPT for their own work, and the digital employee takes care of the processes: incoming email, missing documents, orders or data that has to be copied. With one clear rule: client data goes through the digital employee, which works under contract and keeps a log, not through personal accounts.

Frequently asked questions

What about custom GPTs or ChatGPT's agent mode?

They bring ChatGPT closer to a specific task, but they still start when a person opens the conversation, with their own account and permissions. What they don't solve is the company's process: who approves, what gets logged and how it connects to industry software that has no connector.

Can my team keep using ChatGPT?

Yes, for what it does well: drafting, summarising or thinking out loud. A simple rule helps: no client data in personal accounts. That's what the digital employee is for, with a data processing agreement and a log of every action.

Which AI model does a digital employee use?

It uses language models like the ones behind ChatGPT, chosen for each task, and EU providers when the case calls for it. What changes isn't the model but everything around it: connections, rules, approvals and logging.

Is it more expensive than a ChatGPT subscription?

Yes, because it isn't the same thing: a subscription is a tool for one person, and a digital employee does part of the company's work. What's worth comparing is how many hours it frees up. At Amud the price is fixed after a free assessment, with no lock-in.

Digital employee, chatbot, RPA and AI agent: how they differ

The five terms are used as if they were synonyms, and they aren't. Choosing wrong means paying for a technology that doesn't solve your problem. This guide explains what each one does and how to decide which you need.

Question

Is it safe to use artificial intelligence with my clients' data in a law firm?

Yes, if the tool is chosen for it: a provider with a data processing agreement that doesn't train on your data, data processed in the EU, limited and logged access, and a lawyer who reviews everything before it leaves the firm. A free chat doesn't meet that bar.

Guide

Digital employee for business: what it is and what it can do in yours

A digital employee is an artificial intelligence agent with a defined role in your company: it takes requests by email, chat or WhatsApp, works inside your tools with the capabilities you authorise and asks for your approval before any important action.

Question

Should I hire an admin person or automate the repetitive tasks?

It depends on the work. If it's repetitive volume with clear rules (reading and sorting email, copying data, chasing documents), automating usually costs less and copes with peaks. If it needs judgement, client contact or tasks that change, you need a person. Often the best answer is both.

Solution

Chat with your clients' spreadsheets and documents, without uploading them to ChatGPT

An assistant connected to your firm's folders answers questions about a client's spreadsheet or document and transforms it as you ask: match, filter, group or summarise. It does the maths by running operations on the file, tells you where each figure comes from, and nothing goes through personal accounts.

Solution

Quarter-end client documents, without chasing each client

Before each quarter-end, a digital employee knows what each client is missing, asks for it through their usual channel, follows up until it arrives and files every document in its place. You see who's complete and who isn't, with no new portal and no software switch.
